Organizer guide

From first setup to final whistle

Running a tournament on PathwaysPlay follows one loop: build the structure, schedule it, score it live, advance the winners, and archive it for next year. Here is the whole journey, in order.

  1. 1

    Create the shell

    Five minutes, one screen

Sign up, tap New event, choose Tournament, and fill in one short form: name, dates, venue, format, game format, age group, and a points preset for standings. If you run events for more than one organization, you also pick whose tournament it is.

    • Templates. Run the same event every year? Save any tournament as a template and next year's setup clones the whole structure with new dates.
  2. 2

    Add your structure

    Divisions, fields, teams

Inside the tournament, add divisions (each can override game format, match length, and scoring), the fields you have at the venue, and the teams.

    • Three ways to get teams in. Type them in yourself, share the public registration link so teams sign themselves up (waivers, deadlines, capacity, and waitlist included), or import rosters straight from a Pathways club.
    • Rosters run themselves. Every registered team gets a private management link by email. Managers add players, paste a whole roster at once, and sign waivers without ever needing an account.
  3. 3

    Build the competition

Pools, brackets, and how teams move between them

The Stages page is where the competition logic lives. Create a pool stage, auto-draw teams into balanced pools, and generate the round robin in one click. Then add your knockout.

    • Parallel brackets, natively. Cup, Plate, Bowl, and Shield brackets generate in one click, with the advancement rules already wired so every team keeps playing all weekend.
    • Progressions. Rules like "pool winner goes to the final, third place goes to the 3rd place match" are set up front. When pools finish, teams flow into their slots automatically.
  4. 4

    Schedule it

The part organizers usually do by hand

Quick Schedule gives you a sensible first pass instantly. Optimize Schedule hands the whole puzzle to a real constraint solver that respects locked kickoff times, field restrictions, daily windows, lunch breaks, and minimum rest between matches.

    • It explains itself. If your rules are impossible to satisfy together, the solver shows you the smallest set of conflicting constraints and suggests ways to fix them, instead of just failing.
    • Tune what matters. Weight sliders balance the soft stuff: even rest across teams, fair field assignments, and finals that build to a climax.
  5. 5

    The week before

Staff, paperwork, and the public link

Invite referees, scorers, and medics by email with role and credential tracking. If you require background checks or first aid, staff who lapse can't score until they're current.

    • Print pack. Bracket PDFs, check-in sheets with roster checklists, and standings exports are one click each. Printable player forms (waiver, media release, data consent) live under Player Forms for teams to sign and bring to the gate.
    • One link for everyone. Share the public tournament page once. Parents and coaches get the schedule, live scores, and standings all weekend without installing anything.
  6. 6

    Match day

Score from your phone, even with zero signal

Check teams in at the gate, then open any match and tap. Tries, conversions, cards, subs, and the match clock all land instantly. And if the pitch is a dead zone, everything keeps working: score the whole match offline and it syncs the moment your phone finds signal.

    • You keep final say. Results entered by scorers go to pending approval before they count. Your own results post directly.
    • The live page keeps up. Spectators see scores within seconds, with standings recalculating as results land.
    • Running behind?. Re-optimize from now re-solves every remaining match from the current minute. Played matches stay put, and you approve a preview of the changes before anything moves.
  7. 7

    Pools close, finals begin

    Two clicks between stages

When the last pool match ends, hit Execute Progressions: standings compute and teams flow into their bracket slots by rank. Then Generate Bracket creates the knockout matches and schedules them after pool play.

    • Winners advance themselves. As each knockout match finishes, the winner moves into the next round automatically. No whiteboard required.
  8. 8

    Wrap it up

    Champions, records, and next year

Approve the final result and the public page shows your champions and final standings. Export the results and standings for the record.

    • Next year is five minutes. Save the tournament as a template and your whole structure is ready to reuse with new dates.
